1. Who this agreement is between
These terms are between Harbour Property Solutions (“Harbour”) and the business that creates a Harbour workspace (“you”, “the agency”). Harbour is a business-to-business service. The person creating the workspace confirms they are at least 18 and authorised to bind the agency.
2. The service
Harbour provides property-management software: property, tenancy, landlord and tenant records; inspection reports; maintenance and compliance tracking; rent and arrears records; a client portal; optional AI assistance; and integrations you choose to connect. We may improve or change features over time, and we will give reasonable notice before removing something material.
Harbour is an operational tool. It does not provide legal, financial, tax or accounting advice, and calculations such as late-payment interest, deposit deadlines and notice periods are record-keeping aids that you must check against current law and your own agreements.
3. Trial, plans and payment
- New workspaces get a 30-day free trial with no payment details taken. If you do nothing, the workspace simply stops at the end of the trial; nothing is charged.
- Paid plans are billed monthly by Direct Debit through GoCardless at the price shown at checkout, which is calculated from your unit count and shown next to the confirmation button together with the renewal terms. Prices exclude VAT.
- The plan renews automatically each month until you cancel. You can cancel at any time from Settings; see the refunds and cancellation policy for what happens to the current period.
- We may change prices with at least 30 days’ notice by email. The new price applies from your next renewal after the notice period.
4. Your data
You own the records you put into Harbour. You appoint Harbour as your processor for that data and we will process it only to provide the service, as described in the privacy policy. You are responsible for having a lawful basis to hold your tenants’, landlords’ and applicants’ data, for responding to their rights requests (we will help), and for what your staff upload. You can export your data at any time and can ask us to delete the workspace.
5. Acceptable use
- Keep your sign-in details confidential and tell us promptly about any unauthorised access.
- Do not upload content you have no right to use, malware, or anything unlawful, and do not use Harbour to send unsolicited marketing.
- Do not probe, scrape, overload or reverse-engineer the service, or use the API beyond the documented limits.
- Content you or your users upload (including photos) must not infringe anyone’s rights. If you believe content on Harbour infringes your copyright, email info@harbourpropertysolutions.co.uk with the details and we will act on it promptly.
6. AI features
Copilot, the concierge assistant and AI-written report summaries are optional and are labelled as generated. They can be wrong. A person must review anything sent to a tenant, landlord or contractor, and Harbour never contacts them autonomously.
7. Availability and support
We aim for the service to be available at all times but do not guarantee uninterrupted access; we may take it down briefly for maintenance. Support is available by email and through the Help button in the workspace on UK business days.
8. Liability
Nothing in these terms limits liability for death, personal injury, fraud, or anything else that cannot be limited by law. Otherwise, Harbour’s total liability to you in any 12-month period is limited to the fees you paid in that period, and we are not liable for indirect losses, lost profits, or losses caused by data you entered or decisions you took based on the software.
9. Ending the agreement
You can close your workspace at any time. We may suspend or end it if you breach these terms, do not pay, or if we are required to by law, and we will tell you why. After closure we keep your data for 90 days so you can export it, then delete it.
10. General
These terms are governed by the law of England and Wales and the courts of England and Wales have exclusive jurisdiction. If any part is found unenforceable the rest still applies. We may update these terms; material changes will be emailed to workspace managers at least 30 days before they take effect.
